Job Title: Event Coordinator

Job Description

Bourbon Event Center is seeking a full time Corporate and Private Events Coordinator to oversee the booking and coordinating of events at a 15,000 sq foot multi-use entertainment and hospitality venue in downtown Louisville.  This manager will work very closely with the ownership to create unique, exciting, safe, and profitable events at our entertainment venue. 

Responsibilities

  • Coordinate events with the renters before, during, and after each event.
  • Responsible for generating and driving event sales, working closely with clients to determine event-specific details, and day-of event management.
  • Provide on-site support as the main point of contact for clients during the event day, ensuring the event timeline is adhered to, confirming any adjustments, and ensuring services align with contractual agreements.
  • Help coordinate with the hiring, training, scheduling, and supervising live event activities.
  • Establishing and maintaining relationships with vendors
  • Work with an outside security agency.
  • Help coordinate with the bar manager and staff
  • Help coordinate the cleaning and maintenance personnel and vendors.
  • Act as the liaison between the ownership and the staff.
  • Help coordinate social media and website marketing
  • Help develop mailings and other marketing tools to attract new clients.
  • Communicate with industry organizations and build relationships with promoters, strategic partners, talent, and other potential renters for all types of events including but not limited to Weddings, corporate and private events, concerts, comedy shows, and other uses for the space.
  • Help with other management and administrative tasks as needed.
  • Control cash and budgets per event.
  • Ensure continuity by maintaining communication with returning clients to secure bookings and schedule events for the upcoming year.
  • Attend networking events as needed

The venue operates exclusively for scheduled events, occurring anywhere from 1 to 5 times per week.

  • May include weekends or holidays as needed – venue is mostly slow or empty during the week and busiest nights, weekends, and holidays.
  • At least 5 years of work experience in the hospitality / event industry at some level.

Compensation

$36,000 base salary plus commissions and bonuses per event that could generate over $100,000 per year if the venue accomplishes its financial goals.

For each event they successfully book and coordinate, the event planner will receive commissions, such as 5% from the rental fee and 10% from other net profits, along with potential annual bonus tiers.
